Office Administrator

The Office Administrator at CAPSHER Technology serves as the welcome and initial contact for our employees and clients. 

Your primary responsibility will be to work full-time on-site as a welcoming representative of our company on-site, maintain the amenities of our office facility, and assist with special events.

Your daily activities typically include:

  • Answering telephone calls, routing callers, taking messages and providing routine information to callers
  • Receiving visitors at the front desk by greeting, welcoming, and announcing them to their hosts 
  • Assist with on-site conference room scheduling and calendar management
  • Scheduling and planning offsite meetings, events, and trips
  • Receiving and sorting incoming mail, managing outgoing mail 
  • Manage office goods and supplies inventory including organization, storage, and placing orders
  • Keep storage areas clean and organized.
  • Keep meeting rooms and common areas arranged and prepared for operations, including stocking snacks and supplies
  • Provide other administrative support as necessary, including scheduling meetings and interviews, maintaining calendars, creating reports, etc. 
  • Prepare in-office communications including announcements, messages, and basic graphics/Canva materials
  • Logistical Preparation for seasonal and special events, 
  • Food and Drink Orders 
      • Venue and Event Equipment Rentals
      • Organizing Supplies 
      • Planning and Participating in the Setup and Takedown of Events
      • Attendance at special events is expected. Some events are after hours or on weekends, this work is paid. 
  • Assist in coordinating and on-site communications with facility service providers, including building maintenance, repairs, and inventory. 
  • Errands as necessary typically for supply purchases or order pick-ups.

The Ideal Candidate:

  • Has strong customer service and communication skills  
  • Is proficient in word processing, spreadsheets, creating reports, and using G-Suites
  • Hands-on experience with office equipment, phone systems, computers, and printers
  • Respectful and Professional Attitude and Appearance, including dress
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Has a high school degree and preferably some secondary education; 
    • Customer Service experience preferred
    • Reception experience preferred
  • Is able to perform physical demands including using computer equipment in an office setting, occasionally lifting and moving objects up to 40 pounds, and occasionally traveling to meet with clients in person.
  • Is a U.S. citizen, permanent resident, asylee, refugee, or temporary resident. Temporary residents do not include those with non-immigrant work authorization (F, J, H or L visas), such as students in practical training status. Exceptions to these requirements may be determined based on a shortage of qualified candidates with a particular skill. CAPSHER will require proof of work authorization.
